Folio Privacy Policy

Folio is a product operated by Folio Works, LLC (“Folio”, “we”, “us”). This page explains what data we collect, how we use it, and what choices you have.

Data we collect

Account — your email address, used for passwordless sign-in via magic link.
Notes & workspaces — the documents, folders, and canvases you create inside the app.
Meeting audio — when you tap “Start recording”, Folio captures audio from your microphone (or, on the web, a browser tab you select). Audio is uploaded to our cloud storage, transcribed, and kept so you can play the meeting back later — a transcript is a good record, but the recording is the source of truth when something is questioned. It is retained until you delete the meeting or your account.
Calendar events — if you connect Google or Microsoft Calendar, Folio reads your upcoming events so it can offer to record them, pre-fill who was in the room, and match a recording to the right meeting. For those events Folio stores the title, start and end time, attendee names and email addresses, the conference link and the description. Access is read-only: Folio cannot create, change or delete anything on your calendar, and it never reads your email. Disconnecting a calendar deletes the stored events.

What we do with it

Authenticate you and sync your workspace across devices.
Transcribe and summarize meetings you choose to record.
Surface upcoming meetings you connected your calendar for.

We do not sell or rent your data. We do not use your notes or transcripts to train third-party AI models on a non-opted-in basis.

Subprocessors

Folio relies on the following service providers, each bound by data protection terms:

Supabase — authentication, database, and storage.
Anthropic (Claude) — summarization and note formatting.
Deepgram — speech-to-text transcription.
Google & Microsoft — calendar access, only if you connect them.
Vercel — application hosting.

Retention & deletion

You can delete any note, folder, or workspace at any time inside the app. Meeting recordings are kept alongside their meeting so you can replay them, and are deleted when you delete the meeting. You can delete your account yourself from Account settings, which permanently removes your notes, meetings, transcripts, stored recordings, attached images and calendar data. You can also email privacy@foliocloud.ai and we will action the request within 30 days.

Mobile permissions

Microphone — required to record meetings. You choose when to record; Folio does not record in the background without an active recording session you started.
Background audio (iOS) / foreground service (Android) — keeps recording running when the screen is locked, so you can capture full multi-hour meetings.
Notifications (Android) — used to show the “Folio is recording” persistent notification while a recording is active.

Google user data

Folio’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

we use Google Calendar data only to provide the meeting features described above, visibly to you inside Folio;
we do not transfer it to others except as necessary to provide those features, to comply with applicable law, or as part of a merger or acquisition;
we do not use it for advertising, and we do not sell it;
we do not allow humans to read it, except with your explicit consent for a support request you raise, where it is necessary for security purposes such as investigating abuse, or where the law requires it.

You can disconnect Google Calendar at any time from Account settings, which deletes the stored events and revokes Folio’s access token. You can also revoke access from your Google account permissions page.

Children

Folio is not directed at children under 13 and we do not knowingly collect their data.

Changes

If we materially change this policy, we will update the date above and, where appropriate, notify you in the app or via the email on file before the change takes effect.
